And we agree, so we've provided you a short guide on what information we'll likely need from you, and how it comes together.

  • We'd like to know who is the main contact person for the project. Full name, title, email, phone. 
  • Who else may also be involved in the project, and what are their roles? Full name, title, email, phone. 
  • What is the billing address and/or any other related contacts or email address. 
  • Do you have an IT contact? If so, that may be helpful too.

Domain Name and Email

  • Do you need to register a domain name and/or setup email? If so, let us know what domain name you're after and/or what email accounts you might like to have. For new domains and email accounts, we'll help you get setup on www.LinkShip.com, our favorite for great services, support, and pricing. You can also search for new domain names on www.LinkShip.com.
     
  • Already have a domain name? Then we'll need to know what it is and where it is registered (Godaddy, Network Solutions, LinkShip, etc.). At the time of launch, we'll need to adjust where the domain name points to. These are referred to as DNS changes. We can make this change for you with login access, or provide details to your IT representative.
     
  • Your website will need a primary email address associated with the Primary Administrator for the website. This email address is used as the "From" address when sending email to visitors. Emails such as password reminders, notifications, form submission, etc.. This email address is also used to send you notifications when certain tasks and operations happen on the website (e.g. some one registers or comments on a post). In general, an email address like info@yourdomain.com, support@yourdomain.com, or notifications@yourdomain.com would be a good choice. This email account should be checked regularly. Please let us know a primary email address.  
     

Logo and Identity

  • If you already have a great logo, send us your logo source files, ideally in a scalable vector format (such as EPS, AI, PDF-vector). Please send all variations available such as color reversed for dark backgrounds, tall versions, wide versions, or any other type of variation. If you don't have vector files for your logo, then please send the largest, clearest JPG or PNG file available.
     
  • Do you have special colors? Please send us the color codes in HEX format (e.g. #F2F2F2) or RGB format (e.g. rgb(124, 80, 144) ).
     
  • If you have a style guide for your corporate identity, please send that along as well so we can follow your design (logo use, preferred fonts, color codes, etc)
     
  • We'd also like to know in general, what types of websites you like, and who are some of your competitors might be. Provide us some links to those types of sites and we'll do our best to be on par or better than those you provide. Optional but helpful. 
     
  • If you would like a new logo, or your current logo updated to a scalable vector version, just let us know. We love logo work! 

Images

  • In general, the more direct photos of your work/service/products you can provide, the better. We love choices. Provide photos in JPG format, as large as possible. We will resize/crop for appropriate locations on the website.
     
  • If needed, we will source some stock photos for your website. You can also point us in the right direction by sourcing some free photos yourself from www.Pixabay.com or www.UnSplash.com or from one of their sponsors (pay for) photo libraries. Have a peak and send us the linkk to any that convey a relevant message or may otherwise be great for your website. We'll take care of any purchases up to $100.
     
  • Send us photos by Email (15MB limit per email), or via www.Dropbox.com, or by using our favorite www.WeTransfer.com (free up to 2GB).
     

Content

  • When providing content, please do so in an electronic format that we can copy (not written papers, or faxes, etc.). Word docs are most common.
     
  • In general. we'd like text copy about your business such as about us, mission statement, staff bios and photos if relevant, product and/or service descriptions, etc. If you have ths information in a brochure or proposal, send us that too.
     
  • If you have documents to be downloadable on the website, please provide in PDF format. Word docs are also fine, but will be converted to PDF. With documents be aware of file size, overly large documents are not great. Depending on your purpose, PDF files are ideal at under 1 MB, althought that's not always possible.
     
  • If you have tabular or list data, please provide in excel spreadsheets, charts, or any other similar format
     
  • If we are adding a blog or news section to your website, start thinking about content for that too. It's probably one of the first things you'll wnt to do once the site launches. Blog articles work great for driving traffic to your website. Continual changes and updates keep the serach engines happy.
     
  • If we will be adding fillable forms to your website, we'll want to know all the fields you wish to collect, which ones are required, and who the results should be sent to.
     

Interim Review

  • Once we have the basic design shell setup for the website with some initial content, we'll do a review with you on the design direction and initial content placement ideas so far.
     
  • We'll have a temporary domain name setup where you can see the process from here forward. This gives you an opportunity to fine tune some of your ideas in the context of the new website.
     
  • We'll also provide you an Admin login to poke around and get to know the platform, and perhaps even start doing some basic editing, for example adding blog articles.


Hosting Videos

  • If you intend on having embedded videos on your website, then you will need a video streaming account with YouTube, Vimeo, or other similar service. If needed, please set this up as your account in your name. We can also help set it up for you, but best you know how it works, and it's generally pretty easy.
     
  • If providing video for your website, simply provide the Urls to each on those streaming services.
     
  • Hosting videos on a service like YouTube has additional advantages. YouTube is the 2nd largest search engine.
     

Search Engine Setup

  • Do you already have a Google Analytics tracking code, with full Administrative control? If so, just let us know, we'd like to be added to your account to View and Analyze. If you're familiar with adding users, please add us using our Google account start@webmonton.com.
     
  • Need a Google tracking code? No problem, we'll get it setup for you. Just let us know you'd like this added. We'll need an email address from you that's associated to a Google account. Once we have that, you'll be able to view analytics anytime at https://analytics.google.com.  
     

Social Media

  • To connect to social media, please provide us which accounts you wish to link to, and the urls for each.
     
  • For further integration for auto-posting to social media from blog articles, have your social media username/passwords handy to connect to APIs after the website is live. 
     

Mailing List Service by MailChimp

  • Mailchimp is a popular Mailing list service which is free up to a few hundred subscribers. If you wish to integrate MailChimp and don't have an account, please visit MailChimp.com and create a free account, then provide us access to get it connected to the website.
     
  • If you have a MailChimp account and wish to connect it to your website, we will need to login to get an API key. Once connected, users can easily subscribe to your mailing list. The integration we provide has lots of added features and functionality.
     

Testing and Content Management

  • When your website is complete, our quality control suggests everything should be working great. Still, it's important for you to verify that.
     
  • 1 hour online introduction to Content Management. Logging in as Admin, general overview of keys features and editing basic data. General best practice thoughts and ideas.
     
  • Test all operations, do you get mail from the website? do forms results come to you. Do all pages and links direct correctly. Does it work good in mobile?
     
  • Try visiting the website using different browsers or devices. Do menus work okay, content displays nicely?

 

3rd Party Services

Most websites today utilize a number of 3rd party services such as Analytics, Domain Registeration, Web Hosting, Social Media, or MailChimp for example. In general, these services should be registered in your name using your own payment methods. Webmonton Media takes no responibility for 3rd party services in any way. Please take the time to understand any additional costs from 3rd party services that may be a part of your website, or you decide to use.

Typical basic 3rd party services

  • A domain registrar (an annual cost + any special features)
  • An email service (an annual cost, often per account + any special features)
  • A website hosting service* (an annual cost based on server resources + any special features.)
  • Module licenses* for any specialty modules such as an online store (annual or usage fee based on developer)
  • An analytics account (generally no cost unless high volume or + any special features)
  • Search engine registration  (generally no cost - Google, Bing + any special features, advertising)
  • Google Maps (generally no cost unless high volume)
  • Mailchimp Newsletters (free up to hundreds of users or + any special features)
  • Social Media accounts (generally no cost + any special features, advertising)
     

* Webmonton Media also utilizes 3rd party dedicated cloud servers to provide cost effective, secure and stable website hosting (for our client only). We also directly license modules that are used on websites we develop. These are generally the only 3rd party costs that Webmonton Media will invoice for.


Ongoing Support

  • Maintaining a great website means having a quick response expert at your ready for whatever the need.  Our support plans give you Priority Support when needed, and also saves you 20% from regular rates .. the only catch, it must be prepaid before work is performed. Plans are based on total hours/minutes of support work, and cover up to a 3 year period, at which time any unused portion expires. Time is tracked in 6 minute increments with full reporting at end of time/term, or available upon request anytime. Renew at your own discretion.
     
  • We'll keep an eye on the backend server operations and ensure your website is up and running 24/7. We'll also let you know when Google tells us how to improve your website for better search engine optimization.
     
  • Need some more training, want to be more hands on? We can also provide training to one or many via online training sessions.
     

Sender Policy Framework (SPF) authentication.

  • SPF is an optional, but recommended DNS text file associated with your domain name. It is used to authenticate which sources (such as IP addresses, domain names, host names, servers) are allowed to send mail on your behalf. SPF helps prevent someone spoofing your email address using it as the "from" address for spam emails. An overly simple, or overly strict SPF record, is often the cause of your outbound emails (from the website) getting blocked as spam or spoofing.
     
  • We generally check for this prior to the launch of your website. We'll either directly edit your SPF record, or provide you the required change for you to update. Keep an eye for this behavior, it can affect one user while not another, depending on their own individual email service setup.
